Hotel Manager • Assisting the Hotel Manager to complete all activities related to the operations of the ship including purchasing & ordering, ensuring the establishment works as smoothly as possible. • Making all the necessary decisions needed in assigned division and ensuring all the ship rules, policies are implemented. • Being in charge of overseeing all the events, activities such as Birthday, Anniversary, Trivia, Feast days etc… Port Clearance • Preparing documentation required to ensure ship’s clearances in ports. • Liaising with ship’s agents in preparation of ship’s clearances. • Representing of shore side office to finish all the formalities at borders, dealing & solving all the issues, ensuring the ship can cross the border smoothly. • Handling all the ship certifications and its expiration. • Developing and maintaining good working relationships with local port authorities. Administration • Managing the ship’s accounting and financial functions. • Providing accounting, financial, sales and revenue statements to the shore side office. • Preparing preliminary and final statements for passengers and crew, and collecting funds • Managing accurate accounting of all cabins, computing bills, taking payments and balancing cash of the end of the cruise. • Ordering cash, maintaining the contents of the safe and ensuring an adequate supply of cash is onboard. • Auditing and supplying cash floats for the Reception Desk. • Maintain accurate passenger and crew manifests. • Responding swiftly and effectively in any ship emergency or safety situation. • Mailing or emailing reports and documents from ship to the Company • Coordinating the crew payroll, preparing cash advances for crew. • Coordinating crew sign offs and crew sign ons. • Assisting crew regarding the Payroll system. • Coordinating passenger embarkation and debarkation procedures with shore side agents for ship’s clearance purposes. • Safekeeping passports of passengers and crew, seaman’s book etc... Inventories & Maybanhang System • Ensuring the quality and quantity of all departments’ orders from suppliers • Supervising the inventories of Charter’s amenities, Bar, Kitchen, Gift Shop, Salon/Spa and Office Supplies. • Providing monthly inventory counts thereof. • Updating pricing and article information in the system • Importing and exporting financial and passenger information into/out of the system. Reception Desk • Being responsible of all the services at reception • Supervising Receptionists, conducting Performance Evaluations and disciplines staff when needed. • Improving service by training staff in proper guest relation techniques and methods. • Ensuring that all passenger requests, inquiries and concerns are responded to promptly. • Providing information, receive and resolve guests queries, concerns in a professional and courteous manner, in person, on the telephone or via e-mail • Fulfilling all reasonable requests from guests to ensure their comfort, satisfaction and safety • Ensuring all passenger information materials are printed on time (daily program, menus, etc…) • Welcoming and registering guests- check-in and out in an efficient and friendly manner, using guest name whenever possible. • Introducing ship service – butler service and taking care of VIP guests. • Providing basic trouble-shooting support for in-room services such as Internet, TV movies, games, and Web service. • Recordkeeping of Audio Vox, Questionnaires, maintenance requests, lost & found items, Etc…
