JOB SUMMARY
The Recruitment Trainee supports the Human Resources Department in day to day hiring activities to ensure efficient, timely, and compliant staffing across hotel operations. The role offers hands on learning in candidate sourcing, CV screening, interview coordination, pre employment documentation, onboarding logistics, HRIS data entry, and HR administration. The Trainee is expected to perform all duties courteously, safely, and professionally, in full alignment with the hotel’s brand standards, culture, and service expectations.
CORE WORK ACTIVITIES
1) Recruitment Process Support
- Post approved job vacancies on internal and external platforms (career site, job boards, schools/universities, social channels) following brand style and policy.
- Conduct initial CV screening for hourly and non management roles; shortlist and route qualified profiles to Recruiters/Hiring Managers.
- Maintain accurate applicant flow and candidate pipelines to support timely staffing across departments (Front Office, Housekeeping, F&B, Culinary, Engineering, Spa, etc.).
2) Interview Coordination
- Contact candidates to schedule interviews, confirm details (date/time/location or virtual), and provide preparation instructions.
- Prepare interview rooms, schedules, and interview packs (forms, tests, score sheets); ensure logistics run smoothly.
- Record interview outcomes, collect evaluation forms, and update candidate status in trackers/HR systems promptly.
3) Pre Employment & Onboarding Assistance
- Guide candidates on required documents (IDs, certificates, bank/tax/insurance documents) and collect files per hotel checklist.
- Support reference checks or pre employment verifications under supervision.
- Prepare new hire files, issue onboarding packs, and assist with Day 1 orientation logistics (badges, schedule, facilities tour, uniform coordination).
4) HRIS & Records Management
- Create/update candidate and employee records in the HRIS/ATS as instructed, ensuring data accuracy and proper coding.
- Maintain secure and organized filing (electronic and paper) for recruitment and onboarding documents in line with audit standards.
- Prepare routine recruitment reports (e.g., weekly pipeline, open requisitions, time to fill snapshots) for HR leadership.
5) Communication, Service & Brand Culture
- Communicate with candidates and associates using clear, polite, and professional language (email, phone, in person).
- Uphold hotel service culture in all interactions; protect guest and associate privacy.
- Assist with career fairs, school outreach, and employer branding activities where needed.
6) Compliance & Policies
- Follow HR policies, confidentiality, and data protection requirements; handle sensitive information with discretion.
- Adhere to grooming and appearance standards; maintain a tidy, welcoming HR reception/interview area.
- Support compliance checks for hiring documentation per local requirements and company procedures.
7) Reporting & Continuous Improvement
- Track basic recruitment metrics (applicant sources, interview throughput, offer acceptance, onboarding completion) as assigned.
- Identify minor process gaps (e.g., delays, missing forms) and suggest practical improvements to enhance candidate experience.
- Maintain recruitment templates (JDs, interview guides, email scripts) and update versions as directed.
8) Teamwork & Additional Duties
- Partner with HR colleagues and operational departments to meet staffing timelines.
- Support HR projects (mass hiring days, onboarding events, internal transfer drives).
- Perform other reasonable tasks as requested by HR leadership.
CANDIDATE PROFILE
Education
- Final year student or recent graduate in Human Resources, Hospitality Management, Business Administration, Psychology, or related fields.
Experience
- No prior experience required; internship/part time exposure to HR or hospitality operations is an advantage.
Skills
- Strong communication (verbal/written) and professional phone/email etiquette.
- Organization & time management; ability to prioritize and meet deadlines.
- Attention to detail in documents, logs, and data entry.
- Proficiency in MS Office (Word, Excel, Outlook); willingness to learn HRIS/ATS tools.
