What will I be doing?
As the Commercial Trainee, you will be responsible for performing the following tasks to the highest standards:
- Complete the relevant Hilton University courses promptly and pass the tests.
- Be familiar with hotel product knowledge and related activities.
- Assist Sales Managers with quotations and contracts, sending them to guests and following up promptly.
- Assist Sales Managers to take guests on hotel tours.
- Make reservation for rooms and events with the reservation system.
- Assist Sales Managers to make and send the group resume and BEO, making sure that the related department receives the information.
- Update and maintain the guest name list.
- Deal with guests’ and colleagues’ enquiries.
- Assist and manage the department’s internal activities.
- Ensure that collateral and promotional materials are on hand at all times.
- Attend departmental briefings and take meeting minutes.
- Participate in discussions on sales and activities.
- Issue communications and information regarding sales.
- Make sure all department files are well kept and checked regularly.
- Answer department calls and messages, making sure to pass information to the related people.
- Inform customers promptly about all changes in hotel information.
- Finish department and hotel reports.
- In charge of managing department HOE, consumables and regular maintenance.
- File all monthly reports including attendance records, cash reports, expense reports, etc.
- Deal with Commercial department emails and manage the file system, keeping records.
- Attend Sales meetings organized by the Commercial Director and complete the meeting minutes in 24 hours.
- Arrange and remind the Commercial Director on work allocations to team members on duty.
- Assist the Director of Sales, Director of Events, Revenue Manager and Marcom Manager to prepare records and reports.
- Answer office telephone calls and make records.
- In charge of all purchasing requests, follow-ups and purchasing records.
- Make department contracts and promotions, track credit agreements and remind the Sales team to follow-up.
- Carry out any other reasonable duties and responsibilities as assigned.
